2025 RPL Checklists: Construction, Aged Care, Hospitality

The fastest way to a successful RPL outcome is industry-aligned evidence that clearly maps to units of competency. Use these tailored checklists to organise your portfolio and reduce back-and-forth with the assessor.

Construction RPL checklist (e.g., Cert IV / Diploma pathways) Core evidence

  • Project documentation: schedules, site diaries, RFIs, QA/inspection reports
  • Safety documentation: SWMS/JSA, risk assessments, toolbox talk records, incident reports
  • Procurement and subcontractor management: purchase orders, quotes, contracts, scopes
  • Communication: emails or memos showing instructions, coordination, client/engineer correspondence
  • Photos/videos: stages of works, supervision activities, defect rectification
  • Compliance: licences/tickets (White Card, HRW), inductions, CPD records

Verification

  • Third-party reports from supervisors/clients
  • Position descriptions and employment verification
  • Referee contact details

Tips

  • Map each item to unit codes/elements
  • Redact confidential or commercial information
  • Include project size, budget, your role, and outcomes

Aged Care RPL checklist (e.g., Certificate III/IV) Core evidence

  • Care plans, progress notes, shift handover notes (de-identified)
  • Manual handling competency records and training
  • Infection prevention and control certificates
  • Medication prompts/assistance logs (as permitted by role and policy)
  • Incident reports and responses
  • Communication records: family liaison, multidisciplinary team notes
  • Photos/videos of non-identifying tasks (with permission and compliant with policy)

Verification and compliance

  • National Police Check, NDIS Worker Screening (if applicable)
  • Mandatory training: CPR/First Aid, fire safety, dementia awareness
  • Third-party reports from supervisors/registered nurses

Privacy caution

  • Remove names, addresses, and any identifying client information
  • Follow workplace and legal requirements for data handling

Hospitality RPL checklist (e.g., Certificate IV in Hospitality) Core evidence

  • Menus and costings, recipe specifications
  • Stock control and wastage reports
  • HACCP/SOPs, cleaning schedules, temperature logs
  • Rosters, training records, performance coaching notes
  • Service recovery logs, reviews/feedback, function/event briefs
  • POS reports and supplier invoices
  • Photos/videos: plating, bar setups, events (no customer faces without consent)

Verification

  • References from head chef/manager
  • Employment records and position descriptions
  • Awards or recognition

Cross-industry must-haves

  • Current CV detailing responsibilities and scope
  • Employment verification (contracts, payslips)
  • Referee details and third-party reports
  • Licences/tickets and short-course certificates
  • Recent photos/videos demonstrating tasks

Formatting your portfolio for faster assessment

  • Create unit-by-unit folders with a simple cover sheet mapping evidence to elements and performance criteria
  • Use clear filenames with dates and context
  • Provide a short statement of your role in each evidence item

Common evidence gaps and how to fill them

  • Missing supervisor reference: request a structured third-party report
  • Limited documents: supplement with detailed logs, annotated photos, and training records
  • Outdated evidence: include recent examples to show current competence

Next steps

  • Complete the Free Eligibility Assessment to identify likely RPL credit
  • Gather evidence using the checklists above
  • Plan any targeted gap training if mapping shows partial coverage

FAQs Q: Do I need all items on the checklist? A: No. These are examples. Provide enough recent, verifiable evidence to demonstrate each unit’s requirements.

Q: Can I use photos or videos? A: Yes, if they’re recent, relevant, and compliant with workplace and privacy policies. Avoid identifiable client/customer images without consent.

Q: What if I lack official documents? A: Use third-party reports, detailed logs, and annotated photos/videos. Assessors consider multiple forms of evidence.
